This policy explains what information the Brain Bug Kids app collects, why, and what you can do about it. It applies to the Brain Bug Kids mobile app used by parents, teachers and staff of the Brain Bug Kids education centre in Panchkula, Haryana.

1. Who we are

Brain Bug Kids (“we”, “us”) is an education centre run as a partnership firm (registration in progress) at 2863, near Sky World School Site, Sector 21, Budanpur, Panchkula, Haryana 134117, India. We are responsible for the information described here.

2. Who uses the app

The app is for parents and guardians of children enrolled at Brain Bug Kids, and for our teachers and staff. Children do not sign in or use the app themselves. Accounts are created by the centre; there is no public sign-up.

3. Information we collect

About you (parent or guardian)

• Name, phone number, and the login email or username the centre creates for you. Your password is handled by Google Firebase Authentication; we never see it.
• Messages you send through the app: leave requests and their reasons, and feedback.

About your child, provided by you or entered by the centre

• Name, date of birth, gender, school, allergies (so staff can keep your child safe), emergency contact number and profile photo.
• Courses and batches, attendance, leave, class diary notes, milestones, certificates and progress reports.
• Fees, invoices, discounts and payment records. Payments are made offline at the centre; the app does not collect card, UPI or bank account details.

About staff

• Name, phone, login details, class attendance and salary records.

Collected automatically

• A record of sign-ins and of changes made in the app (who changed what, and when), kept so the centre can check and correct records.
• A device notification token, if you allow notifications.

What we do not collect

• No location, no advertising identifiers, no analytics or tracking tools, and no browsing activity.
• Staff can choose a phone number from their device contacts when filling in an emergency contact. Only the number they pick is saved; the rest of the address book is never read or uploaded.
• The camera and photo library are used only when staff add a student’s profile photo.

4. How we use it

• To run classes: rosters, attendance, leave, timetables and holidays.
• To bill fees and record payments, and to calculate teacher salaries.
• To share your child’s progress with you: diary notes, milestones, certificates and reports.
• To send you in-app notices about invoices, payments, cancelled classes, holidays and events.
• To keep accurate records and resolve questions about them.

We do not sell your information, use it for advertising, or use it to profile you.

5. Children’s information

We collect a child’s information only to provide our classes, and only from the child’s parent or guardian or from our own records of the child’s time at the centre. By enrolling your child and providing their details, you consent to this use as their parent or guardian. Parents see only their own children. Teachers see what they need to teach: they do not see fees, discounts, contact details or the centre’s internal notes.

6. Who we share it with

No one else receives your information. We use Google’s cloud services (Firebase Authentication, Cloud Firestore, Cloud Storage and Cloud Run) to store and run the app. Google processes the data for us under its terms, and does not use it for its own purposes.

Some buttons open other services, for example WhatsApp (to contact the centre or book an event), Instagram (our posts), Google Maps (directions) and Google Forms (event registration). What you share there is covered by those services’ own privacy policies.

We may disclose information if the law requires it.

7. Where it is stored

App data is stored on Google Cloud servers in India (Delhi and Mumbai). Student profile photos are stored in Google Cloud Storage in the United States.

8. How we protect it

All traffic between the app and our servers is encrypted (HTTPS). Every request is checked against the user’s role, so each person sees only what their role allows. Only authorised centre staff can use the admin tools.

9. How long we keep it

We keep a child’s records while they study with us and afterwards for as long as we need them for accounting, tax and legal purposes. When we no longer need them, we delete or anonymise them.

10. Your choices and rights

• Delete your account: in the app, go to More → Delete my account. Your login is removed straight away, and your name, phone number and email are erased. Your child’s attendance, fee and payment records stay with the centre as described in section 9.
• See, correct or delete information: email or call us (section 12). We will respond to every request. Some records, such as invoices and payments, may need to be kept by law.
• Notifications: you can turn them off in your phone’s settings.

11. Changes to this policy

If we change this policy, we will update the date at the top and, for important changes, let you know in the app.
